The Logistics Co-ordintor will perform a variety of duties in support of the company's export activities. They will arrange transportation by Sea, Air or Road for customer export shipments, ensuring timely deliveries, and whilst providing accurate documentation. Extensive communication by e-mail, telephone, and fax with customers and suppliers is necessary.
Job Duties
Support Sales person that you are working alongside
Co-ordinating orders with the Sales person
Monitor logistics costs including freight costs
Carry out product checks
Raise Marine Insurance for Sea Shipments
Organise Couriers
Ensure all controls, policies and procedures are up to date and adhered to
Update Database files when necessary
Organise up to date Certificates from plants
Complete SLI/Loading Advice for vessel/air crafts freight forwarder.
Monitor Vessel/Voyage Schedules
Issue Bill of Lading Express Release to clients / discharge ports as required
Print original bills of lading / invoices as required
Send draft bill of lading & Details of Freight & Charges to Shipper/Agent
Verify shipment weight and volume and update Commercial Invoice.
Maintain excellent communications with customers, Freight forwarders and suppliers,
Raise and complete RFPS for Air and Sea shipments
Liaise with other Shipping Departments as required
Handle export documentation and customer telephone enquiries
Answer incoming calls
Update Stock on Hand and SIP weekly
Ensure all documents produced are accurate and meet specified time frames ok
Update Sales person with all order changes
Get confirmation of orders from suppliers
Book Vessels/Air craft
RFP's
Arranging for Import permits if required
Arranging for Inspections/photos to be taken prior to departure of product if required for that country
Once all original documents on hand, email all relevant parties and courier set of original documents if necessary.
Check all Supplier invoices against PO's and RFP's to ensure they are all correct before passing to Accounts.
File old orders away in correct order
Actively manage areas of responsibility by using initiative, suggesting ways of improving systems for greater efficiency and not back-delegating.
May have other responsibilities/duties as deemed necessary.
The Logistic coordinators role involves direct contact with clients, third-party service providers and colleagues. Therefore, you will need to have good communication skills and be able to work well within a team. Organisational, planning, time management, good geographical knowledge and problem-solving skills are essential. The Logistics manager should be attentive to detail and be accurate in execution of any tasks.
